Step by step usage
Enter actual period data
Replace the sample values with your own business's data for the same date range and the same unit of measure.
Read the result and assumptions together
Hourly customer or transaction volume is converted to average service time and divided by the capacity an employee can provide at target occupancy. The result is rounded up to the whole person. Examine the result not just as a single number but for its sensitivity to change in inputs.
Save the scenario and measure again
Once you make a decision, write down the input and the date. Calculate density in hourly intervals. Also check the role skill. Add opening and closing tasks to the volume calculation.
What does this tool calculate?
Calculate the required number of staff from hourly customer or transaction volume and employee capacity.
formula
People required = ceiling(hourly volume × processing time / 60 / target occupancy)
Calculation method
Hourly customer or transaction volume is converted to average service time and divided by the capacity an employee can provide at target occupancy. The result is rounded up to the whole person.
Worked example
72 transactions per hour. Average 5 minutes. Target occupancy is 80%. Result: Total workload 360 minutes; Since the available capacity per person is 48 minutes, the need is 8 people.
How should the result be interpreted?
Calculate density in hourly intervals. Also check the role skill. Add opening and closing tasks to the volume account
Common usage mistakes
Applying the daily average to rush hour. Getting 100% occupancy. Assuming all employees are at the same pace
Limits of the model
It is a simple capacity model; It does not fully simulate queuing, customer waiting tolerance, role dependency and task transitions.
Is your data safe?
Calculation and file analysis runs in your browser. The operation files you upload are not sent to a server by this tool.
Frequently asked questions
Why shouldn't target occupancy be 100 percent?
A solid 100 percent load leaves no buffer for variable demand and support tasks; Set sustainable goals with your real business data.
What happens if an employee performs more than one role?
Calculate the load of each role separately, then manually balance the capacity that can actually be shared in the same time period.
