Step by step usage
Enter actual period data
Replace the sample values with your own business's data for the same date range and the same unit of measure.
Read the result and assumptions together
The required and planned number of employees for each hour or interval are compared. Negative difference indicates open capacity and positive difference indicates available buffer. Examine the result not just as a single number but for its sensitivity to change in inputs.
Save the scenario and measure again
Once you make a decision, write down the input and the date. Address the largest negative difference first. Separate the role-based minimum from the total number of people. Deduct breaks and leaves from the planned active number.
What does this tool calculate?
Compare required and planned hourly employee numbers to find open coverage windows.
formula
Coverage difference = planned employee - required employee
Calculation method
The required and planned number of employees for each hour or interval are compared. Negative difference indicates open capacity and positive difference indicates available buffer.
Worked example
12:00 requirement: 7 people. Planned: 5 people. 13:00 requirement: 8 people. Planned: 8 people. Result: A two-person gap appears in the 12:00 window, and balanced coverage appears in the 13:00 window.
How should the result be interpreted?
Address the largest negative difference first. Separate the role-based minimum from the total number of people. Deduct breaks and leaves from the planned active number
Common usage mistakes
Mistaking total shift workers as active capacity. Combining role minimums. Using different interval lengths in the same table
Limits of the model
The tool does not produce a demand forecast; You must provide the required person value with your operation data or separate capacity model.
Is your data safe?
Calculation and file analysis runs in your browser. The operation files you upload are not sent to a server by this tool.
Frequently asked questions
Does a positive difference always mean overstaffing?
No. A buffer may be necessary due to training, breaks, new employee support, or role constraints.
How many minutes should the coverage calculation be?
Use a fixed interval of 15, 30 or 60 minutes, depending on the rate of change of demand; all lines must be the same length.
