Step by step usage
Examine the example and prepare the blank file
A line is a single activity expense item. Maintain the initial approved budget in the plan area; Write the changed quote or finalized invoice to the current cost. For the item that is not yet an expense, enter 0 for current and paid. You can keep different events in the same file; The top summary covers all activities. Use the yellow input fields on the tracking page; Do not change the blue formula fields. The sample sheet is filled with fictitious records and does not count towards the actual work total.
Write actual records in the yellow fields
The variance is the current cost minus the budget; A positive value indicates overshoot. The remaining payment subtracts what is paid from the current cost. Budget utilization rate is current cost / budget. For a new item with a zero budget, the rate remains blank, but an amount deviation appears. Checking is required if payment exceeds cost. Profit should not be calculated until advances are reconciled with the exact cost. An empty mandatory field is distinguished from a real zero. Correct missing or incorrect records in the control column; Since these lines are excluded from the summary, do not use the total as a final report until the problem is resolved.
Fix control alerts and review summary
Obtain approval of excess items. Plan for outstanding supplier amounts.
